Basic Policy for Protection of Personal Information


We at the National Congress of Industrial Heritage (the “NCIH”) will comply with laws and other regulations regarding personal information, and endeavor to handle and protect personal information in accordance with the following:
The NCIH shall not collect or use personal information in any illegal way.
The NCIH shall specify the purpose of using personal information and use it in a legal and appropriate way.
The NCIH shall maintain and manage the personal information in its possession in a legal and appropriate way.
The NCIH shall make arrangements with respect to the handling of personal information so that the person whom the personal information concerns can be involved in an appropriate way.
The NCIH shall establish an internal system related to personal information, review the system on an ongoing basis in order to ensure the legal and appropriate operation of the system, and endeavor to improve it as necessary.
The NCIH shall provide its members with in-house education related to personal information, and make the content of such education known throughout the organization.


Handling of Personal Information
The privacy policy of the NCIH (the “Privacy Policy”) constitutes an integral part of the Terms of Service (the “ToS”) which governs the use of the Service by Users of the application and various service sites operated by the NCIH (collectively, the “Service”), and governs the use of the Service by Users.
Personal information provided by Users of the Service will be managed pursuant to the Privacy Policy. The Privacy Policy does not apply to any personal information provided by Users to the individual companies that provide information and services through the Service. The Privacy Policy does not apply to any person who is not a User of the Service.


1. Definition of Personal Information
“Personal information” means information from which a specific individual can be identified directly or by combining with two or more pieces of such information and includes, without limitation, names, addresses, telephone numbers, email addresses, birthdates and gender.


2. Protection of Personal Information
We will put safety measures into practice to strictly manage personal information so as to protect it from loss, destruction, alteration, leakage or other incidents. Such measures include establishing a system to maintain and manage security systems, providing thorough education to our personnel and taking other actions as necessary and appropriate.
When we outsource all or part of the handling of personal information to any outsourcer, we will supervise the outsourcer as necessary and appropriate to ensure the safe management of personal information at the outsourcer.


3. Publication of Collection Method and Purpose of Use
When we collect personal information from you, we will expressly specify the purpose for which the personal information will be used, restrict the use of your personal information collected to the specified purpose of use, and handle it in an appropriate manner. If the necessity to use your personal information beyond the specified purpose of use should arise, we will notify you of or publicize the new reason or purpose, and use it only if you consent to such use.


4. Use of Personal Information
We will manage your personal information appropriately and never provide it to any third party, except where:
1) you consent to the provision to a third party;
2) your personal information is provided in a form in which a specific individual cannot be identified (e.g. statistical material);
3) we are requested under law by a judicial, administrative or similar body to disclose or provide your personal information;
4) you are in violation of the terms of use, the ToS (as defined above) or other rules prescribed by the NCIH, and your personal information needs to be provided to a third party in order to protect the rights and properties of the NCIH;
5) your personal information needs to be provided to a third party in order to protect a human life, human body or property, but it is not possible to obtain consent from you;
6) your personal information needs to be provided to a third party in order to improve public health or promote the sound development of children, but it is not possible to obtain consent from you; or
7) your personal information needs to be provided in order for us to cooperate with a government organization, local public body, or a person delegated by such an organization or body in the performance of a procedure stipulated by law, and the act of obtaining your consent may obstruct the performance of such procedure.
The following acts do not constitute the provision of personal information to a third party, and thus we may disclose your personal information as necessary:
1. Where we outsource the handling of personal information in whole or in part within the range necessary to achieve the purpose of use of such information;
2. Where the personal information is provided to another entity as part of the business succession following a merger or other reason; and
3. Where the personal information is jointly utilized in accordance with the provisions of the Act on the Protection of Personal Information (the “Act”).


5. Other Points to Consider
(1) Disclosure of Personal Information
When we are requested by you to disclose your personal information in accordance with the provisions of the Act, we will, after confirming that the request is, in fact, from you, promptly disclose it to you (if the requested personal information does not exist, we will notify you as such) except where we do not have the obligation to do so under the Act or other relevant laws.
(2) Correction, etc. of Personal Information
When we are requested by you to make a correction, addition or deletion (hereinafter, “Correction, etc.”) to your personal information for the reason that it is not accurate, we will, after confirming that the request is, in fact, from you, promptly carry out an investigation as necessary within the range necessary to achieve the purpose of use of such information, and make Correction, etc. to your personal information based on the results of the investigation, except where we do not have the obligation to do so under the Act or other relevant laws.
(3) Discontinuance of Personal Information, etc.
If we are requested by you for the discontinuance of use or deletion of your personal information (hereinafter, “Discontinuance, etc.”) under the provisions of the Act for the reason that your personal information is being handled beyond the purpose of use publicized in advance or that your personal information has been acquired by deceit or other wrongful means, and if your request is judged grounded, we will, after confirming that the request is, in fact, from you, promptly implement the Discontinuance, etc. of your personal information, except where we do not have the obligation to do so under the Act or other relevant laws.
(4) Utilization of Cookies and Other Technology
The Service provided by the NCIH may utilize cookies or other similar technology. These technologies contribute to the improvement of the services of the NCIH by allowing us to grasp the status of utilization of the services.
If you would like to disable cookies, you can do so by changing the appropriate setting of your browser. Please note, however, that you may not be able to use some of the functions of NCIH’s services.
(5) Continuous Improvement
We will comply with all the applicable laws and other regulations for the personal information in our possession. We will endeavor to review and improve the Privacy Policy from time to time, and may modify the Privacy Policy as necessary.
